The Best Scribe Alternatives for SOPs and Process Documentation
Scribe made screenshot guides easy: click through a task and get a step-by-step guide. But operations, HR, IT and support teams often need more than a list of clicks. They need to show who does what, where the process branches, and an SOP someone can sign off. We make AI Flowchart, so read our view with that in mind. We have tried to say plainly where each tool is the better pick.

What to look for in a Scribe alternative
- Steps or the whole process? A step guide answers "how do I do this in the app?". A process map answers "who does what, and what happens if the answer is No?". Many SOPs need both.
- Hand-offs between people. If the task moves from HR to IT to a manager, a swimlane shows it far better than a list of screenshots.
- Sign-off. Audited processes need an owner, a version and an approver.
- Exports. Word or PDF for your document system, or links for a wiki.
- Price for your team size. Per-seat plans add up fast for a team, and some start at a minimum number of seats.
1. Scribe: best for polished screenshot guides
Scribe captures what you do and turns it into a step-by-step guide with screenshots. It has Chrome and Edge extensions and desktop apps for Windows and Mac. The free Basic plan makes how-to guides in your browser that you can share by link or embed. Pro plans add capture in web, mobile and desktop apps, company branding, screenshot editing and redaction, and export to PDF, HTML and Markdown. Pro Team adds comments, and Enterprise adds SSO, user roles and automatic redaction of personal and health data.
Scribe is also adding AI. Autocapture on the Pro plans turns work you have already done into draft guides, and Scribe Optimize, sold through a demo, builds process maps from workflow data. If your main need is clean, branded guides for a team, Scribe is the most complete choice here.
2. Tango: best for team guide libraries on a budget
Tango also turns clicks into screenshot guides. Its free plan includes 5 shared workflows, browser capture and up to 10 users in a workspace. Pro adds unlimited workflows, desktop capture, PDF, Markdown and HTML export, version history, voice and video embeds, and branding, at $15 per user a month for teams of 3 or more on annual billing ($20 monthly).
3. Loom: best when a video says it faster
Loom records your screen, voice and camera. It is not a step-guide tool, but a 2-minute video is often the fastest way to explain a task or a change. The free Starter plan allows 25 videos per person, each up to 5 minutes. Business is $18 per user a month, and Business + AI ($24) adds automatic titles, summaries and chapters. The drawback for SOPs is that a video is hard to skim, search or update one step at a time.
4. AI Flowchart: best when you need the process map and the SOP
AI Flowchart records a task once in the browser and gives you three things: a step-by-step guide with each screenshot and the clicked button highlighted, a process map (a flowchart, or a swimlane when the work moves between apps or people), and an SOP with purpose, scope, roles and steps. There is no extension to install; it uses the browser's own screen sharing in Chrome, Edge or Firefox, and you review every screen before anything is sent to the AI.
The difference is what happens next. The process map is a normal diagram: you can edit it by asking the AI, present it, and run it in the process simulator to find the bottleneck. Any swimlane or BPMN diagram becomes a full SOP with numbered steps, decision rules, a RACI matrix, exceptions and records, downloadable as Word or PDF with Pro. A review link lets a manager comment on the process and approve it or request changes, without an account.
Example: New employee IT setup as a swimlane: HR, the hiring manager, IT and the new hire. Click to open and edit it, then press SOP.
- Weak spots: no company branding on guides, no desktop-app capture (browser only), and no shared team library with admin roles or SSO yet.
- Price: free to start; Pro is $9.99 a month or $79.99 a year for one person.

Which should you choose?
- You need branded guides for a large team, with SSO: Scribe, or Tango if the budget is tight.
- You explain things best by talking: Loom.
- You write SOPs for audits, ISO or training, and the work crosses teams: AI Flowchart, for the swimlane, RACI matrix and sign-off.
- You want both: keep your screenshot guides, and use AI Flowchart for the process map and SOP that sit above them.
Start from an SOP template
Each of these templates has an editable swimlane or BPMN diagram and a short SOP you can copy. Open one, change the lanes to your teams, and press SOP to write the full document.

Frequently asked questions
What is the best free Scribe alternative?
It depends on what you need. For screenshot guides, Tango's free plan includes 5 shared workflows. For a process map and SOP from a recording, a free AI Flowchart account covers recordings of up to 8 screens. Scribe itself also has a free Basic plan.
Can AI Flowchart replace Scribe?
For SOPs and process maps, yes. For branded screenshot guides across a large team, with desktop capture, admin roles and SSO, Scribe is the better tool. Some teams use both.
Is a video or a step guide better for an SOP?
A written step guide or SOP is easier to skim, search, audit and update one step at a time. A short video is good for showing a task once, or for explaining a change.
